Privacy, in plain terms.

How stillsatdown handles the information entrusted to it.

stillsatdown is a private personal office and email assistant operated by its owner. It is not available for public account registration.

Using this website

The contact tool temporarily processes the name, email address, topic and message you enter to prepare an email draft. It does not save that draft on the server or send it. Your email app opens so you can review and send the message yourself. Information you actually send is received in the owner’s email account and used to handle your request.

The website uses no advertising trackers, analytics scripts or account cookies. The hosting provider processes network and request information necessary to deliver the website. Contact draft contents are not deliberately written to application logs.

Information accessed by the private assistant

With the owner’s authorisation, the separate email assistant accesses a Gmail mailbox containing forwarded email copies. It reads message identifiers, senders, recipients, subjects, dates, labels, bounded message text and attachment metadata. It also accesses basic Google account identity information for authentication. Routine attachment downloads are disabled. When the owner requests a particular PDF, a separate retrieval job may download matching files within a narrow date and topic search, with limits on file count and size. It saves the original PDFs and their source identifiers for the owner to inspect. It does not open the PDFs, run a model on them or take actions from their contents.

How information is used

Information is used to organise email and identify deadlines, renewals, amounts, contacts and reminders for the owner. Initial classification and extraction use a local AI model. Extracted information is available through private tools and may be supplied to AI assistants selected by the owner when the owner requests help with that information. This may involve processing by those service providers under their applicable terms and privacy settings.

The application does not sell email data, use it for advertising or use it to train general purpose AI models. Access and transfer are limited to providing the owner’s requested email organisation and assistance features. The application’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Storage and protection

Mailbox credentials and cached message text are held in a separate protected account on the owner’s computer. Other assistant processes receive validated extracts rather than unrestricted access to mailbox credentials or the private message cache. The public website has no connection to the private message cache, mailbox credentials or working dashboard.

Retention and deletion

Automatic retention cleanup for the private assistant is currently disabled. Cached messages and extracted information remain until the owner removes them. The configured cleanup targets are 30 days for cached message text and 395 days for extracted facts, but these targets are not enforced while cleanup is disabled. The current Gmail integration does not delete mailbox messages.

You can request removal of information you have supplied using the contact address below. Revoking Google access stops future authorised collection but does not automatically delete existing local data or original emails in other mailboxes.

Access controls

The owner can revoke the application’s access in the Google Account connections settings. The current integration requests Gmail read access and does not send email or modify messages.
